Native Integration vs. External AI Wrappers
For IT teams and board administrators, vendor review and compliance validation represent major barriers to AI adoption. Most board portals use proprietary AI wrappers that transmit sensitive materials to third-party processors. This creates compliance overhead, requiring new security audits, new data handling agreements, and external data processing.
Board Papers and Team Papers are built directly on SharePoint and Teams. AI capabilities function as a native extension of your existing Microsoft 365 environment:
- Data Sovereignty: Documents remain within your existing Microsoft 365 tenant.
- Inherited Security: Microsoft Copilot respects your established M365 security policies, retention labels, and access controls.
- Streamlined Procurement: Security teams evaluate features within an existing platform rather than onboarding a new vendor.
Intelligence Modes for Directors
The integration provides two distinct interaction modes to support meeting preparation and decision-making:
- Meeting Chat (Agenda Focus): Restricts query scope strictly to documents within the selected meeting pack. Directors can summarize reports, extract action items, or identify potential risks within specific agenda items prior to the meeting.
- Board Chat (Historical Scope): Queries the complete repository of historical board materials. Directors can track specific decisions, budget approvals, or risk discussions across multi-year timeframes.
Administrative Features and Control
Meeting administrators can use Copilot to generate structured meeting minutes from uploaded transcripts using customizable OneNote templates or custom formats. Track decisions, summaries conversations and assign tasks all in one place, aided by AI.
Document summaries can be generated for individual documents, or for all your documents at once from a press of a button. Cut down on writing time and give directors digestible summaries easily.
Administrators maintain granular control over feature rollout through the Setup panel. AI functionality can be enabled for specific individuals or pilot groups before full deployment across the board, allowing for internal testing and workflow validation.
Platform Roadmap
Board Papers and Team Papers will grow as Copilot does. Future updates will extend Copilot capabilities to include voting analysis, summary of personal annotations, and task management tools.
